At our practice, we highly encourage making appointments in advance to ensure that we can manage your care effectively and efficiently. This system helps us provide you with the best service possible. However, we understand that urgent matters may arise. For our regular patients, we do welcome walk-in visits for urgent issues, depending on availability. Please remember that an appointment is necessary for all types of matters, including but not limited to prescriptions, referrals, and the completion of medical or other relevant forms.

You can schedule your appointments easily through the following methods:

- By calling our practice directly at (02) 9011 6709
- Online via the HotDoc platform for your convenience

Types of Appointments Available

Our practice offers both face-to-face consultations and telephone consultations, depending on what is most appropriate and available for your needs.

Standard appointments typically last for about 15 minutes. In certain circumstances, we may recommend longer appointments for specific types of consultations. These cases may include:

- Initial consultations for new patients
- Discussions involving multiple health concerns
- Management of complex medical conditions
- New Work Cover or Third Party claims
- Comprehensive health assessments
- Ongoing management plans for chronic diseases

Same-Day Appointments

For urgent medical concerns, we do offer same-day appointments. If you find yourself in need of immediate assistance, please don’t hesitate to contact our reception team to inquire about the availability of these slots.

Understanding Appointment Delays

Our dedicated clinical team strives to run on time for each appointment to respect your schedule. However, delays may occasionally happen due to emergencies, involved consultations, or unexpected clinical situations. We genuinely appreciate your patience and understanding during these times, as they allow us to provide necessary care to all of our patients. Thank you for your cooperation.

What to Expect

We look forward to welcoming you to our practice.

Please arrive 15 minutes before your scheduled appointment to allow sufficient time for registration, completion of paperwork and preparation for your consultation.

A nurse will generally see you first to help establish your medical file and take basic measurements before you see Dr Aligiannis.

What to Bring

Please bring the following items to your first appointment:

  • Photo identification
  • Medicare card
  • Concession, Pension or DVA card, if applicable
  • A list of your current medications, or your medications in their original packaging
  • A health summary from your previous GP, if available
  • Recent blood test results, imaging or scan reports, if relevant
  • Relevant specialist letters or medical reports, if available
  • Any other relevant medical information that may assist with your care

Providing accurate information about your medical history, medications, allergies and previous investigations helps us deliver safe and appropriate care.

If you have several health concerns or require a comprehensive review of your medical history, please let reception know when booking so that an appropriately sized appointment can be arranged.

Our Billing Policy

Dr Penelope Aligiannis is a private-billing General Practitioner. Consultation fees apply to appointments, and eligible Medicare cardholders may receive a Medicare rebate for Medicare-covered services. Please be aware that the Medicare rebate does not necessarily cover the full consultation fee. The remaining amount is your out-of-pocket expense. Our fees are time-based and reflect the actual time spent with the doctor and/or nurse, rather than simply the appointment duration originally booked. A Medicare rebate, where applicable, is calculated based on the time spent with the doctor only, not the time spent with the nurse. Fees are subject to change. Please check the current fee schedule on our website or contact reception before your appointment.

Services That May Not Attract a Medicare Rebate

Some services are not covered by Medicare and therefore attract a private fee without a Medicare rebate. These include:

  • Consultations where the patient themselves is not present
  • Intravenous infusions
  • Nurse-only appointments
  • Commercial driving medical examinations
  • Certain non-government forms and reports

Please check with reception regarding the fee for your particular service before booking.

Medicare Rebates

Eligible patients with a valid Medicare card may receive a rebate for Medicare-covered consultations.

Additional rebates may apply to eligible patients registered with Dr Aligiannis through MyMedicare. Telephone consultation rebates are only available to eligible patients who have attended the practice in person within the previous 12 months or are registered with the practice through MyMedicare, subject to applicable Medicare requirements. Please note that Medicare eligibility and rebate amounts depend on the service provided and the applicable Medicare requirements.

Workers Compensation and Third-Party Claims

Workers compensation and third-party claims are not covered by Medicare.

The consultation fee is payable on the day of your appointment until your insurer accepts the claim. Please contact reception before your appointment to discuss the applicable fees.

Payment Methods

We accept payment by:

  • Cash
  • Direct debit
  • EFTPOS
  • Credit card
  • HotDoc app

Surcharges apply to payments made through the HotDoc app.

Eligible Medicare rebates can be processed through our Easyclaim EFTPOS facility.

Please contact reception before your appointment if you are unsure whether your consultation will incur an out-of-pocket expense.

To help us manage appointments fairly and make appointments available to patients who need care, all patients are asked to confirm their bookings as instructed by the practice.

Appointment Confirmation

Your appointment must be confirmed at least 24 hours before the scheduled appointment time. Unconfirmed appointments will be cancelled and offered to another patient. Please follow the confirmation instructions provided in your appointment reminder.

Secure Card Details Through HotDoc

Card details must also be saved securely through HotDoc to secure your appointment, in accordance with the practice's booking requirements. If this step is not completed, your appointment will automatically be cancelled after 90 minutes. Please complete the required HotDoc steps promptly to avoid losing your appointment. Saving card details through HotDoc does not mean that your consultation is bulk billed or that no consultation fee applies. The applicable consultation fees and cancellation policy remain in effect.

If you experience difficulties confirming your appointment or saving your card details, please contact reception as soon as possible.

We understand that unexpected circumstances can arise and that you may occasionally need to change your appointment. However, missed appointments and late cancellations prevent other patients from accessing timely medical care. We therefore ask that you notify us as soon as possible if you are unable to attend.

Cancelling or Rescheduling

If you need to cancel or reschedule your appointment, please contact the practice on (02) 9011 6709 as soon as possible. Please do not wait until the day of your appointment if you already know you cannot attend.

Late Cancellations

Cancelling within 2 hours of your scheduled appointment time will result in a non-attendance appointment fee.

Failure to Attend

If you do not attend your scheduled appointment without providing adequate notice, a non-attendance fee will apply. Repeated missed appointments or persistent lateness will result in removal from the practice.

Arriving Late

Please arrive on time. Patients arriving considerably late may not be able to be seen within their allocated appointment time. Depending on the circumstances and the doctor's availability, your appointment may need to be rescheduled, and a missed appointment fee will apply.

We appreciate your consideration and cooperation in helping us provide timely care to all patients.

We ask all patients to help us maintain a safe environment for our patients, staff and clinical team.

If you develop cold, flu or other respiratory symptoms on the day of your appointment, please:

  • Complete a rapid antigen test (RAT) before attending.
  • Wear a mask when attending the practice.
  • Contact us before attending if you are significantly unwell so that we can discuss the safest option for your consultation.

Please do not attend the practice without contacting us first if your symptoms are significant or you are concerned that you may pose an infection risk to others.

Where appropriate, a telephone consultation or an alternative arrangement may be discussed.

If you experience a medical emergency, call 000.
